1. Scope and our role

Regi provides software to childcare organizations. When a childcare organization uses Regi to manage families, children, reservations, attendance, billing, programs, staff, or communications, that organization determines why and how much of that information is entered into Regi. We process that customer data to provide the services requested by the organization and its authorized users.

This policy also applies to information we collect directly from visitors to our public website, people who request a demo or support, and authorized Staff App or Family Portal users.

2. Information we collect

Depending on how Regi is used, we may collect or process:

• Contact and account information, such as names, email addresses, phone numbers, organization information, job titles, login information, and account preferences.
• Childcare operational information, such as family and child records, reservations, attendance, program enrollment, authorized pickup information, notes provided by a childcare organization or family, and related center records.
• Billing and transaction information, such as balances, purchases, payment status, transaction details, and payment method information. Payment card data may be handled by third-party payment processors rather than stored directly by Regi.
• Communications, including demo requests, support messages, email communications, and text-message preferences and delivery records.
• Technical information, such as IP address, browser and device information, timestamps, security logs, and information needed to operate and protect the service.

3. How we use information

We use information to provide, maintain, secure, and improve Regi; authenticate users; operate reservations, attendance, billing, reporting, programs, and communications; provide customer support; prevent fraud or abuse; troubleshoot service issues; comply with law; and enforce our agreements.

We may also use business contact information to respond to inquiries and communicate with current or prospective customers about Regi.

4. How we disclose information

We may disclose information only as reasonably necessary to operate Regi, including:

• to the childcare organization and authorized users associated with the relevant account;
• to service providers that help us provide hosting, email, messaging, payment processing, security, analytics, support, and similar functions;
• when required by law, legal process, or to protect rights, safety, and security; and
• in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business, subject to appropriate protections.

We do not sell personal information.

5. Text messaging and mobile information

Where a childcare organization enables Regi-powered text alerts, an authorized parent or guardian may choose to receive service-related messages such as reservation reminders, event or program reminders, and other account or childcare notifications. Message frequency varies based on reservations, events, and account activity. Message and data rates may apply.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile numbers, SMS opt-in data, and messaging consent are not shared with third parties or affiliates for their own marketing or promotional purposes. We may provide mobile information to service providers solely as needed to deliver, route, secure, or support the messaging service.

You can manage available automated text categories through the Family Portal. You may also reply STOP to an automated messaging program to opt out of that program, and reply HELP for assistance where supported.

6. Data retention and security

We retain information for as long as reasonably necessary to provide the service, maintain business and transaction records, meet contractual obligations, resolve disputes, protect the service, and comply with law. Retention periods vary by the type of information and the customer's configuration or legal requirements.

We use administrative, technical, and organizational safeguards designed to protect information. No internet service or storage system can be guaranteed to be completely secure.

7. Your choices and requests

Authorized users can update certain account and notification preferences in Regi. Parents and guardians should generally contact their childcare organization to request access to, correction of, or deletion of childcare records maintained by that organization. You may also contact us about privacy questions using the information below.

Automated text-message preferences can be changed in the Family Portal when available. A carrier-level text opt-out may require replying START to the applicable automated number before messages can resume.

8. Children's information

Regi is business software for childcare organizations and authorized adults; it is not designed for children to create their own accounts. Child information is provided and managed by childcare organizations and authorized parents or guardians for childcare operations. If you believe child information has been provided to Regi improperly, contact the relevant childcare organization or us.

9. Third-party services and links

Regi may integrate with third-party services or link to external websites. Those services may process information under their own terms and privacy practices. This Privacy Policy does not govern independent third-party services.

10. Changes to this policy

We may update this Privacy Policy as Regi evolves or legal requirements change. We will post the updated policy on this page and revise the "Last updated" date above.
